Job Summary:

To perform all admin related activities including but not limited to (drafting letters, arrange meetings, oversee attendance and filling system, etc.) of the ICU.

Duties and Responsibilities:

  1. Assist ICU Administration unit in all administrative matter including but not limited to; drafting correspondences, maintenance of office, providing administrative supplies and arrangement of ICU transportation.  
  2. Keep tracks of all correspondence and written communication related to ICU department.
  3. Assist ICU Administration unit in purchasing of office supplies and equipments.
  4. Facilitate meeting supplies and arrange meetings and seminars of ICU department while required.
  5. Assist Administration unit for office maintenance and keeping the office clean and hygiene manner.
  6. Follow-up on administrative assignment given by supervisor with related stakeholders.
  7. File all administrative documents related ICU department.
  8. Prepare activities progress report of ICU (weekly, monthly, quarterly and yearly) as per need of related departments.
  9. Coordinate follow-up on printing materials including reports, training materials, business cards, brochures and similar items, identifying qualified service providers.
  10. Take the responsibility of submitting and distribution of all medical and none medical equipment and supplies.
  11. Prepare request letters for all cleaning and maintenance materials in consultation with Facilities Manager, ensuring the proper organization, storage and inventory of purchases.
  12. Update the inventory list of ICU department 
  13. Help main project office in administrative and procurement activities if asked him/her.
  14. Responsible for patient’s registration and recording.
  15. Perform other related tasks assigned by supervisor.
  16. The Admin Assistant will report to ICU in charge.

Qualifications & Requirement:

  1. Bachelor degree with one year related work experience or baccalaureate degree with 5 years related work experience.
  2. Basic knowledge of computer and information technology (Ms. Word, Ms. Excel, Ms. Power Point, Inter net browsing and email using) from a recognized institute.
  3. Good interpersonal skill
  4. Strong communication skill
  5. Good in written and spoken English, Pashto and Dari languages.
